Updating Enrollment Data in iNHDEX

The Student Roster does NOT update enrollment data.The Student Roster is used to move data through iNHDEX enroute to other systems (ESOL, TIDE, etc). Student data that is added, removed, or changed in the Student Roster will NOT be reflected in iNHDEX until those data are reported using the submissions listed below (Enrollment, Summer Graduates and Withdrawals, Enrollment Transfers). |
The following submissions are used to update enrollment data within iNHDEX.
Enrollment
The Enrollment submission is the primary method by which Enrollment data is added to or updated within the iNHDEX system. Enrollment cannot be submitted outside of an active reporting window. Windows are open at the beginning of the year (October), middle of the year (February/March), and end of the year (mid-May to early July).
The Enrollment submission cannot be used to DELETE incorrect or invalid enrollment data. To delete a current year Enrollment record, use Summer Grads and Withdrawals.
Summer Graduates and Withdrawals
The Summer Graduates and Withdrawals (SGW) submission is used to update existing enrollment data. The SGW cannot be submitted outside of an active reporting window. Reporting windows align with the Enrollment submission’s reporting schedule.
The SGW is used to do the following:
To EXIT a student’s PRIOR year enrollment record
To CHANGE the exit code on a student’s PRIOR year enrollment record
This only applies to exit codes reported at the end of the prior school year.
To DELETE a student’s CURRENT year enrollment record that was reported in error
Summer Graduates and Withdrawals cannot CREATE an enrollment record. It can only update an existing record.
Enrollment Transfers
The Enrollment Transfers submission is used to EXIT a student’s CURRENT YEAR enrollment record. Enrollment Transfers is primarily used to withdraw students from their district between Enrollment reporting windows. This is done to minimize the number of cross-district errors that arise during the Enrollment reporting process. Enrollment Transfers can also be used to resolve cross-district errors during the Enrollment reporting window when the error is due to a missing exit date. Enrollment Transfers is available for submission all year.
Enrollment Transfers cannot CREATE an enrollment record, and it cannot CHANGE a previously reported exit date. It can only add an exit date to an existing, un-exited, current year record.
