All district public schools must submit student absences, in school suspensions and out of school suspensions.
This data will be used to calculate chronic absenteeism and the attendance rate at the district and school.
Districts are not required to report absence of students in out-of-district or out-of-state placements.
NOTE: Submission should be a single file including all schools in the district. Full load expected.
Preconditions need to be met that is The School Calendar Blocking Days must be submitted to state prior to Student Absence in order to validate.
Student absence %:
When receiving an error “Students total absenceDayPct must be 1 - 100”, but data in the submission file for absenceDayPct is 100.
Solution:
The issue is that a student’s TOTAL absence must not exceed 100 for a single day. The students who are receiving this error have multiple absence records for specific days, the totals of which exceed 100. For example, SASID 1429359614:
The student has two absence records for 10/16/2024, one absence type 1 (unexcused absence), the other absence type 4 (out of school suspension). Both are reported as 100%. Added together, that would mean the student was absent for 200% of the day, which exceeds the maximum allowed total of 100.
In- or out-of-school suspensions always have to be reported as 100%, so in this particular case the absence type 4 record would remain, and the absence type 1 would need to be removed. For other combinations, like absence type 1 and 2, as long as the TOTAL of the absence percentages does not exceed 100 on any single day, the district won’t get this error.
