QUICK FIX: What if you have no data to submit?

What if you have no data to submit? (from February 21, 2025)

If you have no DATA to submit, you must submit a file that containing NO DATA by uploading a blank template. Please follow these steps to accomplish this task:

  1. Review the training video for details, below.

  2. Follow the additional instructions (below) to download a blank file for submission.

Instructions:

How do I download samples and examples of each submission as .csv files?

  • Navigate to the data dictionary.

  • Select the proper submission year from the list.

  • Select the submission you are interested in.

  • Scroll halfway down the page and look for these icons:

  • Click on each icon to initiate a file download.

  1. The first (left-most) icon will download the entire data dictionary for that submission as a .csv file.

  2. The second (right-most) icon will download a blank sample of that submission as a .csv file. This sample file that acts as a blank submission template.

NOTE:

If you have no records for a particular submission and need to upload a blank (i.e. zero-record) file, you must choose OPTION #2 (i.e. the SAMPLE submission file).

IMPORTANT

If you use Microsoft Excel to edit any .csv files, you MUST do the following:

  • Ensure that all date fields for days and months with single digits include LEADING ZEROS wherever necessary to ensure the required month/day/year (“mm/dd/yyyy”) format.

    • EXAMPLE:

      • “03/01/2025” = CORRECT

      • “3/1/2025” = INCORRECT

  • ALSO - Ensure that your file is saved as a .csv file with the .csv extension (and not in the Excel format with the .xls or the newer .xlsx extension).
