Enrollment | What if a student transferred to my district during the summer and the sending district has not withdrawn the student? | You do not need to wait for the withdrawal. If the student is enrolled in your district, you should submit their enrollment. If the student's previous district reports the student in their Enrollment submission, the conflicting information will trigger an enrollment conflict and notification will go to both LEAs to resolve the conflict. The previous district should not include the student in their Enrollment submission, but rather in their Summer Graduates and Withdrawals submission that can be submited sometime in mid-July and after the EOY closes to eliminate cross district conflicts.

Enrollment | I have a middle school student taking courses at the high school in the same district. How do I report the students' enrollment and attendance? | The student’s Enrollment and Student Absence data must be reported only by the middle school. |
Enrollment | How do I report students who are attending a public school outside of the district because our district does not have the grade level? | Students in a NH public school are reported by their district of attendance. Students in a public school outside of NH are reported by their resident district as enrollment status = 25. |
Enrollment | How do I exit a student who has completed our school's gradespan (non-high school)? | The student should be reported in the Enrollment submission with exit code = 2 (The student completed the gradespan allowed in this school and is transferring to another NH public school). The student is expected to be reported by the new school/district in a subsequent enrollment record, or in the next school year if they are exited at the end of the year. Students who are not reported by another school/district will be flagged as a missing student. |

Enrollment | How do I update my district's Tuition Agreement(s)? | Tuition agreements need to be added to i4see through NHED's new fothcoming common database interface called "SEEDS." A formal approval process will then be initiated. Once approved, the tuition agreement will be active for the current year. All agreements must be approved by July 15 to be included in the current school year. |
Enrollment | My district is K-8 and I am wondering if with the transition to INHDEX should I exit the promoted 8th graders in the EOY or is there a different way that I should handle this? | In SY 23-24, districts will not exit their students who have completed the school's grade span. Districts should report those students with the appropriate promoted indicator as has been done in the past (e.g., promoted indicator 2 for promoted students) In SY 24-25, students who complete a school's grade span at the end of the school year would be exited using the new exit code 2, indicating the student has completed the school's grade span and will be going elsewhere in the next school year. NOTE: If the student is NOT reported by another school or district in the next school year, the previous district will need to submit a record in the Summer Withdrawals and Graduates submission to amend the student's exit code to something more appropriate (e.g., exit code 4 if the student moved out of state). |
Enrollment | Melissa mentioned that the certification process was still in development. Can we get an update on where that stands, what is envisioned for data consistency checks (e.g. “Student is listed in BOY but not in EOY”), or other details? thanks. | The process of data submission to NHED will be different in iNHDEX than it has been in i4see. In i4see, districts submit their data via the workqueue, then work on anomaly reports, district review reports, etc, until the data is ready to certify. District's may submit data individually for each school within their district in separate batches. NHED is able to see the districts' data throughout this process and may reach out to districts to notify them about things like outstanding anomalies or unusual data situations that need resolution before the submission can be certified. In iNHDEX, data cannot be submitted to NHED until that data has gone through field and file validation (akin to batch and district verification and various anomaly reports in i4see), as well as cross-district verification. Districts will need to clear any errors that appear during this process before the data can be submitted to the Department. NHED does not have access to the districts' data until the data has been submitted unless a district explicitly grants the Department access (e.g., for assistance with validation errors). If a cross-district verification occurs after one or more districts have already submitted their data to NHED, NHED can return those districts to In Progress until the errors are resolved. The certification process itself will otherwise be very similar to what it is now, with reports that need to be confirmed and that provide final validation of the submitted data. Those reports will be available after the transition to iNHDEX in 2025. |

Enrollment | Will we still do out-of-district through i4see? | Alma users should be able to use iNHDEX to submit OOD students starting with the 24/25 BOY. If there are issues, then i4see can be used to accomodate this submission. You will need to coordinate this with Alma if you foresee any issues. Other SIS users can submit OOD students starting in January 2025 with their enrollment submission through iNHDEX, and with the BOY through i4see. |
Enrollment | Are we going to be able to get a list of the exit codes | A full list of all exit codes, entry codes, enrollment status codes, etc, can be accessed via the iNHDEX Data Dictionary: https://inhdex.getalma.com/public/. They are also listed as a reference tab within the Submission Layout Document (SLD) showing cross-references with the old exit codes. |
Enrollment | How is adequacy aid paid, and to whom? | Adequacy iaud is paid to a student's municipality (town), and therefore the town of responsibility. |
Enrollment | For SPED students starting in the extendeed school year summer programming, do they need an enrollment record to participate? | It is not necessary for a student to have an enrollment record for them to participate in extended school year activities and coursework. A special education student requires a SASID to link that student in NHSEIS, but the existence of a SASID does not require the existence of an enrollment record. NHED does not collect enrollment data related to extended school year programs. A SASID request can be submitted through i4see to obtain a SASID for that student. |
Enrollment | How do I report alternative education students now that enrollment status' 8 & 12 have been deleted? | Yes, 8 and 12 (alternative education) will be removed. Students in alt ed who are also enrolled in the high school would be included in the enrollment submission as enrollment status 21, 22, or 23, depending on which of those statuses is most appropriate. Only students enrolled in adult ed will be reported through the program participation submission. Other alternative education programs do not need to be reported. |
Enrollment | For a student that enrolls at the beginning of the year, coming from a home school program, do we use Entry Code 1 just like all other students or do we need to use Entry Code 2? | A student enrolling at the start of the school year who was previously home schooled would be entered with entry code 2, which indicates a student who is entering from home school. Entry code 1 would apply to students who are brand new to public school (e.g., first time enrollment preschoolers), or students who were previously enrolled in a public school. |
Enrollment | Will submission history from i4see be available in iNHDEX? | There will be limited history available in iNHDEX, but that history will build over time as the system progresses. Due to validation differences between i4see and iNHDEX we aren't able to include a full submission history in iNHDEX. That information will still be available in i4see. |
Enrollment | Can you explain the new Foster Status Indicator? | The Foster Status indicator is where the district will report if the student is in foster status or not, to the best of the district's ability. Foster students are eligible for differentiated aid due to their free and reduced eligibility status. |
