Data reporting is an important part of any public school’s annual routine. Like other schools, charter schools are required to submit data to the Department every year, at different points throughout the year.
STEP ONE: Establish a single sign on account
To be able to access systems through the myNHDOE single sign-on portal, a user must have their own myNHDOE single sign-on account. A user’s myNHDOE account follows them when they change schools, districts, or even move out of state and wish to keep their NH teacher certification active. It’s important that a user’s myNHDOE account is kept up-to-date with an active email address and active alternate email address. The account should not be used by any other user, and generic accounts (e.g., “Fantastic Charter School” instead of a specific user) are not allowed.

STEP TWO: Identify a Local Security Administrator
The Local Security Administrator (also known as the i4see Coordinator) is responsible for assisting other users within the charter school with their myNHDOE single sign on accounts (reactivating disabled accounts, assisting with password resets, etc), assigning access to NHDOE data systems to charter school users in myNHDOE, and deactivating access to those same systems once staff have left the charter school. The Local Security Administrator acts as a gatekeeper to ensure local users have appropriate access to the systems they need to do their jobs effectively, while maintaining data security and student privacy.
At many charter schools, the school’s Director or Principal acts as the Local Security Administrator. In others, another member of the administrative staff will fill that role. It’s recommended that charter school start-ups establish a Local Security Administrator right away, to avoid confusion and to ensure users are given access only to systems and data appropriate to their job duties.
Once you have identified your Local Security Administrator, please forward their information to the i4see Help Desk (Help Desk Portal) so that we can update our list of Local Security Administrators and give that user District Security Administrator status within myNHDOE. This status will allow them to assign or remove users’ access to systems within the myNHDOE single sign-on portal. If your Local Security Administrator changes at any time, please let the Help Desk know so that we can remove that user’s Security Administrator access.
STEP THREE: Familiarize yourself with the Department’s data systems
The Department collects and distributes data through a variety of different systems, most of which are accessible through the myNHDOE single sign-on portal. Each of these systems are equipped with a variety of user roles that may be assigned to a user who needs to access that system. It’s important to make sure users are being given appropriate access to only those systems they need for work-related purposes.
Below is a list of common systems and potential user roles. If you have questions about a particular system listed here, or are unclear which user role would be appropriate for a specific user, please contact the NHDOE program or Bureau linked in the “DOE Contact” column.
These are not all the systems accessible through myNHDOE, but they are the most common for charter school users. If you find you need to access a system not included in this list, please contact the i4see Help Desk (Help Desk Portal) to be directed to the appropriate program office for assistance.

STEP FOUR: Assign access to Department data systems
For all systems, when assigning a user role, Local Security Administrators should do the following:
Verify which systems the user should have access to, and with what user role. Check with your charter school administrator if you have questions, or contact the NHDOE program associated with the system.
Verify that the user has a myNHDOE single sign-on account. To verify that a user has a myNHDOE account, search for the user by name, educator ID, email address, or any combination of other filters under the SECURITY tab from your own myNHDOE profile:

Add the new user role to the user’s account in myNHDOE.
SYSTEM: Choose the system to which you are assigning access
ROLE: Select the appropriate role (see above for suggestions)
SAU: Your Charter School
DISTRICT: The charter school’s name
SCHOOL: School-level access is not usually needed for charter schools, since most can be accessed from the district level. If access is being granted at the individual school level the “School” can be selected, too.

Once these steps have been completed, the charter school is ready to begin submitting data reports to the DOE.
