ESOL Student Status Anomalies
i4see: ESOL Student Status Anomalies (as of July 2020)
In an effort to help improve the accuracy of ESOL student data, we have analyzed the current student status values (i.e., those students currently receiving services) and identified student status records that could not be reconciled with the most recent data the DOE has on file. For example, a student may have scored proficient on the Access exam in 2018, but is currently listed as receiving services; or alternatively, a student may be currently set to Monitored status, but we may not have a student score report as record of proficiency.
Some of the anomalies you find in the report may actually be correct. It may be for example, that a student has a score report from another state demonstrating proficiency and exit. To clean up the data, we are asking that you review these cases.
PLEASE NOTE: This review is for your 2019-20 Student Rosters. You should be reviewing the student’s status (e.g. currently receiving services, monitored year 2, etc.) for this past 2019-20 school year.

Steps to review the anomalies:
1.) Log into i4see and Access your ESOL Rosters
Within i4see the menu item, “Students > Real Time ESOL Student Roster,” allows you to view and manage your ESOL rosters.
2.) Click on the tab “Student Status Anomalies”
You can view your list of anomalies under this tab. Realize you can limit the list to a given school, by selecting that school above the tabs and clicking “view roster.” Also, note that you can click “Export to Excel” if you want to download the list of anomalies to a spreadsheet.
3. Click on “Edit” (next to a specific student) to enter the “Status Change Reason;” and, if needed, update the “Student Status” and add a “Comment.”
Remember to click “Save” after making any changes to the student’s record.
4.) Review Each Student Record – Update the Status Change Reason
The purpose of this column is to let the DOE know you reviewed the student record. There are four values you can select from:
i. DOE Approved Change in Prior Year
If the current student status is correct and it’s because the DOE had already approved a status change request, then select this reason. For example, maybe you had received approval in a prior year from the DOE to have a student who tested out as proficient, return to services, and so the status is “currently receiving services,” instead of monitored. You would simply choose this reason, “DOE Approved Change in Prior Year,” and save the record.
ii. Student Came from Another State
Maybe you have information the NH DOE does not have because the student transferred from another state. For example, maybe the system has this student status set to “3rd Year Monitor,” but we do not have a test results showing the student met proficiency, as the test was administered in another state. Again, you can leave this correct status as is, and choose this reason. Save the record and you are all set.
iii. Status Changed - Confirmed Listed Reason
Maybe the current student status is wrong and you agree with the reason listed in the report. In this case, you can change both the student status value, AND update the change reason to “Status Changed – Confirmed Listed Reason.” Save the record and you are all set.
iv. Other - Please Enter Comment
If none of the above apply, then choose this Change Reason. You should also update the student status if needed. Finally, enter a comment to explain in a few words. Save the record and you are all set.
5.) Please Review each Student Record in the Student Status Anomaly tab.
To update the information as described in step 4 above, you should click ‘Edit’ and then ‘Save’ after entering a reason and making additional updates as needed, for every student in the tab “Student Status Anomalies.”
It is important that you review each student. At a minimum you must enter the “Status Change Reason” (as described above). If appropriate you can change the Student Status and also enter a comment.
