INSTRUCTIONS: “Informing NHED - Teachers and Administrator Entry” document
This document that outlines the requirements to keep NHED updated
with your staff and administrators assignments. This information is required for credentialing purposes as well as state and federal accountability. The updated process uses the new iNHDEX submission and a new Common Database (SEEDS - Shared Education Entity Directory System).
DETAILS:
This submission collects all courses offered, including all teacher, instructional specialists, educational specialists and para-assignments. This information is necessary for Credentialing to be able to work with educators who are going through different certification processes, as well as to monitor overall data quality related to educator assignments.
Districts may SUBMIT partial Course Assignment files
Each SUBMISSION (not upload) is transferred to i4see as a separate batch, and then transferred to EIS
The files MUST be submitted (“Submit to NHED”) for their data to transfer to EIS. If another file is uploaded before a prior file is submitted, the prior file WILL be overwritten and will not be transferred
It’s recommended that districts download the submitted CSV (and Errors list if applicable) for each submission PRIOR TO uploading and submitting the next partial submission
-This way, the district has a record of exactly what was submitted and when
-This is necessary if the district has any questions about issues with the data once it reaches EIS
NOTE: Submission should be a single file including all schools in the district. Full load expected.

NEW FOR SY 25-26:
After discussion with Credentialing, the Course Assignment submission has been updated from an All Year submission to three submission windows open consecutively throughout the year. Those windows are:
BOY: Currently open à Closes 9/30/2025
MOY: Opens 10/1 à Closes 3/15/2026
EOY: Opens 3/16/2026 à Closes 6/30/2026

THE IMPORTANCE OF TERMS:
When submitting the Course Assignment file(s), it is very important that your iNHDEX submission accurately indicates the time frame (i.e. Term) of each assignment. The following chart lists the Terms collected through the Course Assignment file, and the codes associated with each Term.

Semester | 1 | First Semester | Use for classes which meet for half of the school year. Please be sure the semester number properly aligns with the dates of the course. |

Trimester | 3 | First Trimester | Use for classes which meet for one third of the school year. Please be sure the trimester number properly aligns with the dates of the course. |

Quarter | 6 | First Quarter | Use for classes which meet for one quarter of the school year (i.e. half of a semester). Please be sure the quarter number properly aligns with the dates of the course. |

Multi Term | 31 | Multi Term | Used ONLY for assignments which span more than one Term (e.g. 2-5) and with start and end dates that DO NOT align with a year long, semester, trimester, or quarter schedule. This is not to be used with courses which are quarter, trimester, semester, or year long. |
